How to export bill data and import it into Xero

Import your bills data into Xero

Request offers an Xero-optimized CSV that you can generate and use to import your bill data into Xero quickly.

Exporting bills from Request

  1. Log into Request

  2. Navigate to the Bills menu

  3. Click on the meatballs icon "..." (see image below)

  4. Click on Download CSV

  5. Select Xero-optimized CSV

  6. Click on Download

  7. Once downloaded, fill in the AccountCode column for each bill. The column refers to the account name from your Chart of Accounts set up in Xero here.

  8. If applicable: in the Currency column, check if there are fiat currencies you're not using in Xero or cryptocurrencies.

    • Fiat currencies have to be added to Xero before they can be imported

    • Cryptocurrencies have to be converted to fiat since Xero does not support them natively. Don't forget to adjust the amounts (UnitAmount and TaxAmount column) too, if needed.

Preparing your bills CSV for Xero

  • If not already done: in the downloaded CSV from Request, fill in the Account column (see step 7 above).

  • If not already done: add missing fiat currencies to Xero and convert amounts with cryptocurrencies (see step 8 above).

Importing your bills CSV into Xero

  1. Log into Xero

  2. Click the arrow next to New bill, then select Import from CSV

  3. Follow the instructions to import your prepared CSV

    • When asked "Would you like to update contact address details?", choose what works for you

    • When asked "Is the UnitAmount field tax inclusive or exclusive?", make sure that "Tax Exclusive" is selected

  4. Once successfully imported, you will find your bills as drafts in Business > Bills to Pay

Troubleshooting

"We couldn’t import your bills due to an unknown problem" error

You're likely getting this error because your CSV includes currencies that Xero doesn't recognize. In the case of fiat currencies, add missing fiat currencies to your Xero account first before trying to import the CSV again. You can do that in Xero by clicking on your company name and Settings > Currencies > Add a currency.

Xero does not support cryptocurrencies. bills denominated in cryptocurrency have to be converted to fiat (see step 7 here).
